Let your AI set up the schedule
Is your run-of-show in Excel, in Word or in an email? Give it to the AI assistant you already use, together with the line below. It hands you a link. You open it, check the schedule and press Create. Nothing to install, nothing to connect, no account.
- Copy the line below.
- Give your assistant the file and the line. Attach the spreadsheet or the document (or paste the programme into the chat), paste the line, send.
- Open the link you get back. You see the schedule before anything is saved. Press Create room and it is ready to run and to share.
The line to give your assistant
Turn my run-of-show (the attached file, or the programme in this chat) into a schedule for Active Timers and Schedule. 1. Write the programme as plain lines, in order, one item per line: HH:MM-HH:MM Title (24-hour time; put the speaker's name in the title) # Heading (a line that starts with # is a heading, for example a part of the day) Nothing else: no notes, no technical cues, no empty lines. Breaks and meals are items too. 2. Show me those lines in a code block. 3. Then give me this link, with EVENT NAME replaced by the name of the event and LINES replaced by the lines from step 1, both percent-encoded (a space is %20, a line break is %0A): https://timer.activeled.se/new#name=EVENT NAME&agenda=LINES If you can run code, build the link with code so that it is exact. If the file covers several days or several rooms, make one set of lines and one link for each.
If the link does not work
Assistants sometimes get a long link slightly wrong. Then copy the lines the assistant wrote in step 2 and paste them on the page New schedule. It reads the same lines.
Changing the schedule later
Once the schedule is in a room, your assistant can change it too – "move the keynote to after the coffee", "make every talk five minutes shorter". There are two ways.
- With any assistant, nothing to connect. In the room, press Change it with your AI and copy the text. Paste it into your assistant and say what you want. It gives you a link; you see the result before the room changes.
- Connected, so that you only have to ask. On the page My rooms, press Create my connection and then Add to Claude. After that your assistant reads and changes your schedules itself, straight in the room – the technician's window, the shared schedule page and the crew page follow at once. It reaches your own rooms and the rooms others let you edit, and it fills in your own columns (audio, video, light) for the crew page as well. This needs the free account, and an assistant that takes custom connectors: Claude does on every plan, and others that support MCP connectors can use the same address.
Either way the assistant only edits the schedule. It can never start, pause or stop the clock, send a message to the stage, or remove or retime what is on stage – that stays with the person running the event.
What happens to your programme
- Your file stays with your assistant. We never see it.
- The link carries the schedule after the
#sign. That part stays in your browser: nothing reaches us until you press Create room. - Without an account the room is tied to your browser and deleted after 7 days without use. Sign in, for free, to keep it.
- Only titles and times travel in a link. Your notes and technical cues stay in your own file.
- A connected assistant reads and writes your notes as well, since it works in the room itself. You can remove the connection on My rooms at any time.
The format

HH:MM-HH:MM Title– start and end, then the title. A line with only a start time lasts until the next one starts. A length works too:Keynote 45 min.# Heading– a heading in the schedule.- A gap between two items becomes an item called Break, so the day adds up.
- Other lines without a time are left out.
