How we handle your details
Last updated 8 October 2026. Active Timers and Schedule is a free service from Active LED (ActiveLED AB, company registration number 556761-4929), which is responsible for the details described here.
Not a place for confidential information
What you type into Active Timers and Schedule (event names, titles, notes, messages) is not private. Anyone with a room's stage link can see what it shows. If you use the mode Advanced timer and schedule, anyone with the room's schedule link can see the event's name and the titles and times of all its items – never your notes. If you turn on a room's crew page, anyone with that page's link can also see what you write in your own columns, and your notes if you choose to show them there. If you put a room in a programme, anyone with the programme's link can see the same for every room in it. If you use name plates for a stream, anyone with the room's overlay link sees the name and line you put on air, and the look or design you chose for it. Do not enter anything sensitive.
What we store
- The rooms you create: event name, timer titles, times and notes, and what you write in your own columns.
- If you sign in: your email address, the date you confirmed it and the date you last signed in.
- If you create API keys: the name you gave each key, when it was made and last used, and how many calls it has made. The key itself is not stored, only a fingerprint of it.
- If you connect an AI assistant: a fingerprint of your connection address, when it was made and last used, and how many calls it has made. Through the connection your assistant can read and change the schedules in your rooms and in rooms that others let you edit, including the notes and what is written in the rooms' own columns; what it reads is handled by the company behind that assistant. You can remove the connection at any time on the page My rooms.
- If you let somebody edit a room with you: the email address you entered, until you take it out or the room is deleted. That person sees your email address, and you see theirs. They can also work in the room through their own API keys and their own AI assistant, for as long as you let them edit it. We may send the address one email that says you invited them.
- If you press Get help: a support code, and with it your account, the room you were in, your browser, window size and language, whether the page was connected, and the page's last script errors – nothing you have typed. Kept for 90 days, and deleted with your account.
- A history of what has been on stage in each room – the title, the planned time and the time actually used – so that you can open a report after your event. You can clear it at any time, and it is deleted with the room.
- When a speaker uses a rehearsal link: which item, when, and how long it took. Nothing about who practised.
- If you make your own looks or designs for the name plates and screens: the looks and designs themselves, and the pictures you upload for them (logos and images, up to the limits the designer shows). A picture you upload has a public address: anyone who sees the stream or the screen sees it, and so can anyone who has the address. If you ask us to find a logo, our server fetches the company's website (and Wikipedia) on your behalf and keeps the picture it finds as one of yours. Deleted when you delete them, and with your account.
- If a design takes data from an external source (a web address with JSON, CSV, text or a feed): our server fetches that address on your behalf while the design is shown or edited, and keeps the answer for a few seconds. The address is stored with the design. Do not point a design at a source that holds personal or confidential data – what it gives is shown on the screen.
- If you let our AI draw a design: your description, and the design you ask it to improve, are sent to the AI service we run for this purpose; nothing else about you goes with them. A design our AI has drawn becomes a template for every user the first time you use it in a room – its layout, colours, texts and motions, never your pictures, data sources or name. The designer says so before the AI draws. A shared template stays in the library when you delete the design or your account; we take templates down on request or when they do not belong there. Designs you make with your own AI, or by hand, are never shared.
- If you choose to send your programme to Active LED: your name, email address, phone number and message, and the titles and times of your run list (never your notes). It is sent to Active LED by email and added to our customer register so that we can contact you about that event. A copy is kept on the timer service for 90 days.
You can use Active Timers and Schedule without an account. Then we store no email address, only your rooms and a cookie that ties them to your browser.
What we use it for
- To sign you in and keep your rooms.
- If you sign in: to contact you about Active LED's event services. You agreed to this when you signed up. To stop being contacted, send an email to appsupport@activeled.se, or sign in and delete your account on the page My rooms.
How long
Rooms made without an account are deleted after 7 days without use. Accounts and their rooms can be deleted by us at any time, and unused ones are deleted from time to time. If we delete your account, your email address stays on our contact list until you ask us to remove it. If you delete your account yourself, your rooms and your address are erased from Active Timers and Schedule at once; we keep a note of it for up to 30 days, only to take it off our contact list.
Cookies
One cookie keeps you signed in, or ties your rooms to your browser if you have no account. There is no tracking and no advertising.
Your rights
You can ask to see, correct or delete what we hold about you, and to stop being contacted. Write to appsupport@activeled.se. If you are unhappy with how we handle your details, you can complain to the Swedish Authority for Privacy Protection (IMY).
